| The basic function of the Customer Service Representative is to promptly answer incoming calls and refer the caller to the appropriate department or person, takes customer orders and processes them for accurate and prompt delivery, enters them into the product database, responds to incoming calls from Holt Dental Supply sales representatives, process their sales orders, checks on product availability and researches status of customer orders, authorizes returns and processes call tags, tracks UPS and other carriers to resolve delivery issues for the customer, advises customer of the status of their shipments, researches non-stock items for customers and sales representatives |
Duties: |
Promptly and professionally answer incoming calls.
Directs calls to the appropriate department or person.
Takes customer and sales representatives merchandise orders via phone, company website or fax.
Processes orders accurately and timely.
For non-stock items, assist customer/sales representatives in obtaining information necessary to locate and order non-stock item.
Research requested non-stock item with manufacturer including product description, vendor product number, wholesale pricing and suggested retail pricing where applicable. Gives information to Inventory Coordinator for purchasing.
Tracks packages, works with shipping carrier to locate missing or misdirected shipments and damaged shipments.
Works with customer or sales representative to resolve order entry, filling or shipping errors.
Processes customer returns for credit in a timely manner. Investigates reason for return if necessary.
For items in resaleable condition, returns items to the warehouse to restocking.
For items that have been opened or are defective, collects necessary information to receive credit or exchange from manufacturer whenever possible.
Prepares Custom Fax Forms and Item Tags/Labels at the request of the customer or sales representative.
Has proficient product knowledge to best assist the customer and sales representative on questions related to inventory items and new products introduced to market.

Qualifications: |
The person in this position must have excellent organization, analytical, problem solving and verbal communication skills. Must be able to work on multiple projects simultaneously. Must be a self-starter. Must be able to answer a multi-line phone system and direct callers to the appropriate extension. Must be able to communicate effectively with vendor representatives, and employees at all levels of the company. This person must be able to focus on the details, while grasping the “big picture,” so he or she can implement the actions necessary to meet deadlines and reach objectives.
