Description:

The basic function of the Special Orders Clerk is to ensure that products are ordered and delivered in a timely manner. Processing a variety of telephone, fax and written requisitions to obtain products. Receiving stock to inventory, completion of purchase orders, research billing/shipping discrepancies. Processing sales orders for special order items. Obtaining new vendors, place orders, maintain records and handle returned goods.

As a backup to the Customer Service department the basic function is to answer incoming calls and refer the caller to the appropriate department or person, takes customer orders and processes them for accurate and prompt delivery, enters them into the product database, responds to incoming calls from Holt Dental Supply sales representatives, process their sales orders, checks on product availability and researches status of customer orders, authorizes returns and processes call tags, tracks UPS and other carriers to resolve delivery issues for the customer, advises customer of the status of their shipments, researches non-stock items for customers and sales representatives.

Duties:

Assist the Inventory Manager in the development and / revision of the company’s overall Inventory plans, by December 1st each year.

Collect historical information and make recomendations to Inventory Manager regarding inventory turnover and product gross margins by category.

Assist in the inventory purchasing functions.

Ensure the accuracy of special orders being placed.

Ensuring that purchasing of special orders is placed timely and accurately.

Expedite orders to ensure delivery at the right place and the right time, particularly for special orders, drop ships and instrument repairs.

Maintain manufacturer drop ship contracts.

Creating pricing and maintain gross margin of special orders.

Maintain open communication with vendors regarding performance, including quality issues and shipment errors. Resolve discrepancies and take appropriate action to prevent similar problems in the future.

Provide necessary vendor, product and activity research to assist the inventory manager and coordinator in the decision process of the new product committee meetings relative to special orders.

Assist the inventory manager in maximizing merchandise gross profit, consistent with the overall vision and strategy, relative to special orders.

Ensure that the Company’s special order inventory is secure, safe, neat and clean.

Backup to Customer Service Includes:

Promptly and professionally answer incoming calls.

Directs calls to the appropriate department or person.

Takes customer and sales representatives merchandise orders via phone, company website or fax.

Has proficient product knowledge to best assist the customer and sales representative on questions related to inventory items and new products introduced to market.

Qualifications:

The person in this position must have excellent organization, analytical, problem solving and verbal communication skills. Must be able to work on multiple projects simultaneously. Must be a self-starter. Must be able to answer a multi-line phone system and direct callers to the appropriate extension. Must be able to communicate effectively with vendor representatives, and employees at all levels of the company. This person must be able to focus on the details, while grasping the “big picture,” so he or she can implement the actions necessary to meet deadlines and reach objectives. Must also have strong interpersonal skills.
